Exit Door Limited strives to offer its visitors and users the many advantages of Internet technology in order to provide an interactive and personalised experience right from the point of booking online all the way up to and after your game session. Taking online, telephone or in person card payments. This is a contractual necessity for our business. Our booking system is managed by Resova and  they have their own privacy notice which can be viewed here.​

  • Providing you with information requested from us in relation to our services and contacting you in relation to your booking both before and after your game including by email, SMS, telephone, post, WhatsApp or social media.

  • Getting in touch to invite you to play any new games we launch before or as they are announced and to let you know if you have won a competition as long as you have given us consent to do so and making sure it’s clear and easy for you to opt out or stop hearing from us at any time.

  • Letting you know of any changes to our trading address, website, privacy policy, services, goods and products.

  • Keeping you, our staff, our property and venue safe and secure by using CCTV to record visitors to our premises and additionally during your game including audio microphones to improve the experience we provide to you.

  • Complying with legal requirements relating to accounting data and ensuring we follow current government guidelines such as Contact Tracing.

  • Keeping you in the loop by sending you our newsletter if you have chosen to subscribe and ensuring you have the option and are aware of how to unsubscribe at any time.

  • Posting your team photo, team name and details of your escape on social media platforms including Facebook, Twitter, Instagram and Youtube which all have their own privacy policies that can be viewed by clicking on their respective names.

  • Making sure our website is user friendly and providing you with the best possible experience by monitoring trends and behaviours of users through Google Analytics and cookie technology.

  • Sending you information relating to your booking including confirmation, reminders and follow up email.

  • Posting testimonials on our website that may contain personal information. Prior to posting a testimonial, we will obtain your consent to use your name and testimonial. CCTV / SURVEILLANCE 

 

We operate CCTV and audio microphone systems in our premises to monitor and guide teams whilst they play our games, and for the purposes of public and staff safety and crime prevention and detection.

 

Images captured by CCTV will not be kept for longer than 30 days. On occasions, for example in a criminal investigation, images may need to be kept for longer.

 

You have the right to see and be provided with a copy of CCTV images of yourself. These images must not be disclosed to anyone without prior written consent from Exit Door Limited.

 

The aim of the CCTV technology is to:

 

  • Foster a safe environment for staff and members of the public.

  • React promptly and appropriately to health and safety incidents.

  • Limit potential confrontational situations experienced by staff.

  • Ensure evidence is captured as required.

 

Images and audio will only be disclosed to other authorised bodies who intend to use it for the purposes stated above. Images and audio will not be posted online or shared with the media for public viewing or entertainment purposes without express written consent.

 

We operate CCTV in accordance with the codes of practice issued by the Information Commissioner.

 

TEAM PHOTOS

 

At the start and end of the game, we take a photo of your team. This photo is posted on social media for you to like, share and tag yourselves in. We never sell these images or pass them onto any other third parties.

 

We take team images as a legitimate interest under a lawful basis in line GDPR. We will always ask your permission before taking a photo and happily accept a refusal.

 

INFORMATION WE COLLECT FROM YOU

 

We will collect and process the following information about you:

 

Information you give us 

This is information about you that you give us by filling in forms on our website, booking via our website or by corresponding with us by phone, email, social media, direct mail, in person or otherwise.  We only request from you the minimum data required for you to use our service.

 

The only information we require from you to sign up to our mailing list is your email address, but you may also want to provide us with your first and last names should you wish.

 

You can purchase tickets to our games online through our nominated event booking site Booked.it  We will receive personal data that you enter into its booking page and you should view its privacy policy here.

 

We may also interact with you using our Social Media accounts which we manage through HootSuite. You can find out more about HootSuite or how we interact with Facebook, Twitter, and Instagram by clicking the hyperlinks in the names.

 

Information we collect about you

Whenever you visit our website we will automatically collect the following information:

  • technical information including the Internet protocol (IP) address used to connect your computer to the Internet, your login information, browser type and version, time zone setting, browser plug-in types and versions, operating system and platform; and

If you contact, like or follow us via Facebook, we by default access your Facebook basic account information, including your name, email, gender, birthday, current city, and profile picture URL, as well as other information that you choose to make public. We may also request access to other permissions related to your account, such as friends, check-ins, and likes, and you may choose to grant or deny us access to each individual permission.

 

COVID 19

 

If we request contact information because of the legal requirement for NHS Test and Trace, that data will be shared with local and national government agencies designated by law when requested. This data will be held for three weeks after the activity date and then destroyed. It will not be used for any other purpose.

 

WHERE WE HOLD AND WHAT WE DO WITH YOUR INFORMATION

 

We will never share your user information with third parties for promotional purposes.

 

We hold some data on Google Drive, who are contracted by us for the provision of technical services. Our customer relationship management (CRM) is Ascend by Wix. Their privacy policy is here. 

 

We hold financial data with Booked.it. At no point do we store or have access to your full payment details.

 

We may also disclose your information to third parties who we may decide to sell, transfer, or merge parts of our business or our assets. Alternatively, we may seek to acquire other businesses or merge with them. If a change happens to our business, then the new owners may use your personal data in the same way as set out in this privacy policy.

 

Email marketing messages and subscription

Under the GDPR we use the consent lawful basis for anyone subscribing to our newsletter or marketing mailing list. We only collect certain data about you, as detailed in "Information we collect from you" above. Any email marketing messages we send are done so through an email marketing service provider (EMS). An EMS is a third party service provider of software/applications that allows marketers to send out email marketing campaigns to a list of users.

 

Email marketing messages that we send may contain tracking beacons/tracked clickable links or similar server technologies in order to track subscriber activity within email marketing messages. Where used, such marketing messages may record a range of data such as times, dates, I.P addresses, opens, clicks, forwards, geographic and demographic data. Such data within its limitations will show the activity each subscriber made for that email campaign.

 

Any email marketing messages we send are in accordance with the GDPR and the Privacy & Electronic Communications Regulation (PECR). We provide you with an easy method to withdraw your consent (unsubscribe) or manage your preferences/the information we hold about you at any time.
